Manage template roles and rates
The Rates Templates page allows administrators to define, view, and manage hourly rate settings for different roles within the organisation. These templates are used to standardise pricing for internal cost tracking and external billing.
Purpose
Rates templates help you:
Maintain consistent pricing across similar job roles.
Easily apply standardised internal and external billing rates to tasks, projects, or assignments.
Improve reporting, quoting, and payroll alignment.

Columns
Role Template
The name of the job role (e.g., “Chief Executive Officer”, “Pizza Maker”)
External Rate
The hourly rate charged to external clients for this role
Internal Rate
The hourly rate used for internal costing, budgeting, or reporting
Archive
Allows you to deactivate the rate template without deleting it permanently
How to Use
Add a New Rates Template
Click “Add new rates template” (top-right corner).
Enter the role name and define external and internal rates.
Save the new entry.
Edit Existing Rates
Simply click inside the external or internal rate fields to adjust the values.
Changes are saved automatically or may require confirmation depending on system settings.
Archive a Role
Click the “Archive” button next to a role to deactivate it.
Archived templates will no longer be available for assignment in future workflows, but are preserved for reporting or audit purposes.
Best Practices
Keep rate templates up to date as roles evolve or market rates change.
Ensure that all commonly used job titles are represented.
Use internal rates for payroll cost estimation and external rates for client billing or quoting.
Archive outdated or unused templates to reduce clutter.
