Streams & assignment categories

The Assignment Categories page allows administrators to define and manage the types of assignments used within your organisation. These categories help organise work, enable filtering and reporting, and guide users in classifying tasks accurately.


Purpose

Assignment categories are used to:

  • Group related assignments by function or topic

  • Improve workflow tracking and reporting

  • Ensure consistency in data entry across teams

  • Clarify the purpose and scope of each assignment


Interface Overview

Each category card includes:

  • Category Name: The label used to classify an assignment (e.g., “Employee Relations”)

  • Description: A short explanation of the category’s focus or use

  • Delete Button: A red button allowing you to remove the category (only visible if permitted and not in use)

At the top of the page:

  • Search Bar: Filter the list of categories by name

  • Add Category: Opens a form to define a new assignment category

Employee Relations

Managing employee grievances, disputes, and ensuring compliance with labor laws and internal policies.

Legal

Handling legal matters such as tracking court dates, managing legal documents, and team coordination.

Customer Complaints

Managing and resolving customer issues, enhancing satisfaction, and identifying recurring problems.

Contract Management

Overseeing contracts from creation to renewal while managing associated risks and benefits.

Regulatory Compliance

Ensuring adherence to laws and regulations, monitoring risks, and enforcing compliance processes.


How to Add a New Category

  1. Click “Add Category” in the top-right corner.

  2. Enter a name and description for the new category.

  3. Save the entry. It will now appear in assignment workflows and dropdowns.


How to Delete a Category

  1. Click the Delete button next to the category you want to remove.

  2. Confirm the deletion (if prompted).

Note: You may not be able to delete a category if it is currently in use or restricted by permissions.


Best Practices

  • Keep category names short but descriptive.

  • Use descriptions to guide users on when and how to apply each category.

  • Avoid creating too many overlapping categories—aim for clarity and distinction.

  • Periodically review and update categories as your business needs evolve.

Stream Detail

The Stream Detail page allows administrators and workflow designers to visually define and manage the sequence of steps (or "nodes") in a workflow stream. These streams represent structured processes for handling assignments such as Employee Relations, Legal cases, or other categories.


Purpose

This tool is used to:

  • Visually map out the assignment lifecycle

  • Define task sequences, decision points, and transitions

  • Standardise workflows across similar cases

  • Improve process visibility and consistency


Interface Overview

  • Displayed at the top as: Stream detail / [Category Name]

  • Helps you track which assignment category’s workflow you're editing.

Workflow Canvas

  • A grid layout for building the workflow visually using nodes and connections.

  • Each node represents a step or action in the assignment process.

Node Features

  • Each node has:

    • A label (e.g., “Start assignment”, “Test”, “Node 5”)

    • A delete icon to remove the node

    • Connection points to link steps logically in sequence

Controls (Top-Right)

  • Add Node: Insert a new step into the workflow.

  • Save Changes: Commit your changes to the workflow stream.


How to Build or Edit a Stream

  1. Add a Node

    • Click “Add Node”

    • A new blank node appears on the canvas. Drag it into place.

  2. Label the Node

    • Click into the node to rename it (e.g., “Initial Review” or “Manager Approval”).

  3. Connect Nodes

    • Click and drag from the black dot on one node to another to create a directional link.

  4. Delete a Node

    • Click the trash can icon on the node you wish to remove.

  5. Save Your Work

    • Click “Save Changes” to apply updates to the stream.


Best Practices

  • Begin with a clear “Start” node to represent the initiation of the assignment.

  • Use descriptive node names to help users understand what happens at each step.

  • Keep the flow logical and straightforward to reduce confusion.

  • Periodically review workflows for optimisation or updates as procedures evolve.
