Overview

The Overview tab is used to review and manage the high-level metadata of an assignment. It includes subject details, phase tagging, risk management, ownership, due dates, and categorization.


At the top, you'll find sub-tabs that allow you to access various areas of assignment configuration:

  • Details (default)

  • Custom fields

  • Risk assessment

  • Responsible

  • Due date

  • Danger zone (potentially destructive actions like deletion)


Lifecycle Phase Tags (Examples)

Located under the tab menu, these clickable tags represent the assignment’s stage or focus:

  • Assessment

  • Planning

  • Implementation

  • Monitoring (active in the screenshot)

  • Documentation

  • Coordination

  • Evaluation

  • Closure/Transition

  • Follow-Up

  • Quality Assurance

  • Training and Development

  • Close

These tags help organize and track the assignment's lifecycle phase or workflow stage. You can toggle them as the work progresses.


Details Section

Subject

  • A short title that summarises the purpose of the assignment.

Request Description

  • A longer-form description or narrative providing context, purpose, or background for the request.

Assignment Category

  • A dropdown menu that allows users to classify the assignment (e.g., Legal, Employee Relations).

  • Helps with reporting and workflow routing.


Best Practices

  • Use clear, concise subjects for easier referencing in dashboards and reports.

  • Fill out the request description with any relevant background to reduce handover confusion.

  • Use lifecycle tags to reflect the assignment’s current progress.

  • Assign a category for filtering and automated rules (e.g., SLAs, team assignment).

Risk Assessment

The Risk Assessment tab allows you to evaluate the overall risk associated with the assignment by selecting the likelihood and impact of potential issues.


Grid Structure

The matrix contains:

  • Columns (Impact):

    • Very low

    • Low

    • Medium

    • High

    • Very high

  • Rows (Likelihood):

    • Improbable

    • Remote

    • Occasional

    • Probable

    • Frequent

Each cell in the matrix represents a risk score (1–25), based on the intersection of impact and likelihood. The background color of each cell visually represents the risk level:

  • ✅ Green = Low risk

  • ⚠️ Yellow = Medium risk

  • 🟠 Orange = High risk

  • 🔴 Red = Very high risk


Instructions for Use

  1. Evaluate the potential impact of the risk (Very low → Very high).

  2. Assess how likely the risk is to occur (Improbable → Frequent).

  3. Click the corresponding cell that reflects both the likelihood and impact.

  4. The selected cell will determine the risk score.

  5. Add any contextual details in the Risk Assessment notes field.


Risk Assessment Notes

Use this field to:

  • Describe the identified risk.

  • Outline potential consequences.

  • Suggest mitigation strategies or controls.

  • Add references to internal policies, audits, or previous incidents.


Status Indicator

At the top of the screen, you will see the status:

  • Risk Assessment = Not set → No score selected yet.

  • Once selected, it updates automatically.


Best Practices

  • Regularly reassess risk as the assignment evolves.

  • Collaborate with responsible staff to validate scoring.

  • Use notes to support transparency and decision-making.
