Shared content
The Shared Content tab allows users to view, manage, and revoke access to items that have been shared with external parties via email.
Key Features
Shared Items List
Shows a record of all content shared via email.
Each row displays:
The recipient’s email address.
The status of the shared item:
Shared: The item is active and viewable by the recipient.
Revoked and locked: Access has been revoked and the content can no longer be viewed.
Time and date of when the item was shared or revoked.
Revoke Access
For items that are still active, a “Revoke” button is shown.
Clicking Revoke immediately locks access to the shared item.
Actions
Revoke: Immediately terminates access to the content for the listed email address.
Share with external party: Allows you to initiate a new share by entering an email address and selecting content to share.
Best Practices
Use caution when sharing sensitive content externally.
Revoke access promptly if sharing was done in error or if the content becomes outdated.
Periodically review this tab to maintain control over shared content visibility.
