Shared content

The Shared Content tab allows users to view, manage, and revoke access to items that have been shared with external parties via email.


Key Features

Shared Items List

  • Shows a record of all content shared via email.

  • Each row displays:

    • The recipient’s email address.

    • The status of the shared item:

      • Shared: The item is active and viewable by the recipient.

      • Revoked and locked: Access has been revoked and the content can no longer be viewed.

    • Time and date of when the item was shared or revoked.

Revoke Access

  • For items that are still active, a “Revoke” button is shown.

  • Clicking Revoke immediately locks access to the shared item.


Actions

  • Revoke: Immediately terminates access to the content for the listed email address.

  • Share with external party: Allows you to initiate a new share by entering an email address and selecting content to share.


Best Practices

  • Use caution when sharing sensitive content externally.

  • Revoke access promptly if sharing was done in error or if the content becomes outdated.

  • Periodically review this tab to maintain control over shared content visibility.
